1. Acceptance

By signing up for or using ReceiptVaultAI, you agree to these Terms of Service. If you do not agree, do not use the service.

2. Description of service

ReceiptVaultAI provides receipt scanning, AI-powered data extraction, and secure storage for your receipt images and related data. The service is offered "as is" and we strive to keep it available and accurate but do not guarantee uninterrupted service or that extraction results will always be correct.

3. Your responsibilities

You are responsible for: (a) keeping your account credentials secure; (b) the content you upload (you must have the right to upload it and it must not violate any law or third-party rights); (c) verifying the accuracy of extracted data before relying on it for tax or other purposes. ReceiptVaultAI is a tool to assist you—you remain responsible for your own records and tax compliance.

4. Tax records, the CRA, other authorities, and originals

The Canada Revenue Agency (CRA), Revenu Québec, the IRS, other tax authorities, courts, or auditors may have specific requirements for what counts as acceptable proof of purchase or books and records. We do not warrant or guarantee that any receipt image, PDF, export, ZIP package, or other file generated or stored through ReceiptVaultAI will be accepted for audit, assessment, deduction, or reimbursement. You accept full responsibility if an authority rejects or disputes a record you provide from the service.

To protect yourself, retain original hard copies or authoritative source documents where your accountant, jurisdiction, or authority requires them. Digital copies in ReceiptVaultAI are a supplement, not a substitute for compliance with applicable record-keeping rules unless you have confirmed otherwise for your situation.

ReceiptVaultAI is not a law firm, accounting firm, or tax advisor. Nothing in the service constitutes legal, tax, or financial advice. For obligations in your jurisdiction (including electronic record-keeping and retention periods), consult a qualified professional.

5. Acceptable use

You may not use the service to upload illegal content, infringe others’ rights, attempt to gain unauthorized access to our or others’ systems, or use the service in any way that could harm, overburden, or impair the service. We may suspend or terminate your access if we believe you have violated these terms.

6. Intellectual property

You retain ownership of the content you upload. By uploading content, you grant us the limited rights necessary to provide the service (e.g. storing, processing, and sending images to our extraction API). ReceiptVaultAI and its branding, design, and code remain our property.

7. Limitation of liability

To the fullest extent permitted by law, ReceiptVaultAI and its providers shall not be liable for any indirect, incidental, special, or consequential damages, or for any loss of data, profits, or business opportunity arising from your use of the service. Our total liability shall not exceed the amount you paid us in the twelve months preceding the claim, if any.

Without limiting the foregoing, we are not liable for tax penalties, interest, disallowed deductions, audit adjustments, loss of eligibility, or any other outcome arising from reliance on the service, exported files, or AI-extracted data, or from an authority's refusal to accept your records.

8. Indemnity

You agree to defend, indemnify, and hold harmless ReceiptVaultAI and its operators, affiliates, and service providers from claims, damages, losses, and expenses (including reasonable legal fees) arising from your content, your use of the service in violation of these terms, or your tax or regulatory filings and record-keeping decisions, except to the extent caused by our gross negligence or wilful misconduct where such a limitation is not permitted by law.

9. Third-party services

The service relies on third parties (e.g. payment processors, hosting, AI providers). Their terms and outages may affect the service. We are not responsible for third-party acts or omissions beyond our reasonable control.

10. Changes

We may update these terms from time to time. We will post the updated terms on this page and update the "Last updated" date. Continued use of the service after changes constitutes acceptance. For material changes we may notify you by email or in-app notice.
